A visual guide to the interface: upload material, organize it, search it by meaning, share it and manage your account. Each step shows the exact button you interact with.
When you sign in you land on Home: a clean starting point, not the wall of all your files.
At the top, the search bar to find anything by meaning.
“Recently uploaded”: your latest files, to pick up where you left off.
“Your galleries”: your galleries and groups as cards; click one to open it.
HomeAll assetsThe left sidebar switches between Home and your whole library.
Uploading material
The original is stored untouched; seconds later it's cataloged and ready to search.
UploadTop right. You can also drag files or whole folders into the window.
Formats: photos (JPG, PNG, RAW…), video, audio, documents and PDF, and graphics (SVG).
Target galleryChoose which gallery they go to, or “No gallery” to leave them in All assets.
If a file is already in your library, Vauda warns you before uploading (even if renamed) and you can remove it or upload anyway.
×You can cancel an in-progress upload with the × next to each file.
If you're out of credits, the file still comes in and sits as “held”. While you have a pending file, new uploads pause until you get credits and it's cataloged (or you delete the pending one).
Browsing your library
Go through your files by gallery or all together, in whichever view you prefer.
GridMosaicListThree views: tidy grid, Pinterest-style visual mosaic, or a list with details.
FillFitIn grid, choose whether the thumbnail fills the cell (crops) or shows in full.
All typesFilter by type (photos, video, audio, documents, graphics, RAW) from the top-bar menu.
The list loads itself as you scroll (infinite scroll); no pages to flip through.
Searching by meaning
Describe what you're after in your own words; no need to remember the file name.
Search by meaningType something like “aerial shots of forests at sunset” and there it is.
Results show WHY they matched: the PDF page, the moment in the video or audio, or the tags that lined up.
It understands the type: “video of a forest” filters to videos and searches “forest”; “photos” lists only your photos.
Inside a gallery, search is scoped to that material; with no gallery selected, it searches the whole catalog.
An asset's detail view
Click any file to see it large and everything Vauda knows about it.
PlayVideo and audio play in the platform; PDFs open in full with a page viewer.
Audio and video come with a transcript with timestamps and speakers; click a moment to jump there.
DownloadDownload the original, or the transcript as a text file.
You'll also see text detected in the image (OCR), the video's frames and camera metadata (EXIF/IPTC).
Use the arrow keys (or the edges) to move to the next or previous asset without closing the detail.
Adding your own information
What the AI can't know —an unreleased product, a campaign name, who's who— you add yourself.
EditIn the detail view, add your own title, notes and tags.
Everything you write becomes instantly searchable, alongside what the AI generated.
Your data is separate from the automatic catalog: reprocessing with AI never overwrites what you wrote.
Organizing: galleries and groups
A gallery is a folder of files; a group holds galleries (by client, event or branch).
New gallery or groupCreate them with the “+” next to “Galleries” in the sidebar.
Drag a file (or several selected) onto a gallery in the list to move it there.
Drag a gallery onto a group's header to group it; drag it out to remove it from the group.
EditDeleteHover over a gallery or group and its actions appear, to rename or delete.
Reorder galleries and groups by dragging them within the list.
Multi-select
Work with several files at once.
Hover over a card and tick its checkbox to select it; tick several.
ShareDownloadDeleteWith files selected, an action bar appears: share them in one link, download them together (as a ZIP) or delete them.
You can also drag the whole selection onto a gallery to move them all at once.
Sharing with links
Delivering material stops being export-and-attach: you choose what to share and send a link.
ShareShare the gallery you're viewing, a group, a selection of files or the whole catalog.
PasswordProtect the link with an optional password and decide whether downloads of the originals are allowed.
You choose which details the receiver sees (AI summary, tags, transcript, OCR…) and whether they can search within.
The receiver needs no account and takes no seat on your plan; they see a gallery branded like your library.
SettingsManage every link from Settings: change the password, adjust permissions or revoke it instantly.
Usage rights
Control where and until when an asset can be used.
On upload, or later, restrict an asset by country (multi-select) and by expiry date.
Past the date or outside the allowed territory, the asset is blocked for download and export.
The asset is never deleted for this: it stays in the catalog, only its use is blocked.
Your team (Organization)
An account is your organization, with its people and permissions.
OrganizationFrom the sidebar, invite people and manage their roles.
Three roles: viewer (views, searches and downloads), editor (also uploads and organizes) and admin (also manages team and billing).
Viewers are free and unlimited: clients, approvers, your whole team. Only creators (who upload or edit) take a plan seat.
Subscription and credits
AI cataloging is measured in credits. Searching, browsing, sharing and downloading are free.
Subscription & usageFrom the sidebar you see your plan, your credit balance and your storage.
Each file spends credits once, when it's cataloged: a photo is 1, a video 2 per minute, audio 1 per minute, a document ½ per page.
The Free plan includes 100 credits to try, one time. Paid plans renew their quota each month (unused credits don't roll over).
Need more? Buy credit packs (valid for 12 months) or upgrade. Upgrading charges the prorated difference immediately; downgrading applies at the end of the cycle.
If you run out of credits we don't lose your material: the pending file sits “held” and new uploads pause until you get credits and it's cataloged.
Connecting your AI (MCP & API)
Connect your library to the AI you already use (Claude, ChatGPT, Cursor) so it can search and cite your assets.
MCP & APIFrom the sidebar you generate the connection credential.
The agent enters with exactly the same permissions as you: it can't do anything your role doesn't allow.
Available on Pro plans and up.
Settings and account
SettingsChange the platform language (Spanish or English), your name and the organization's name.
My accountAt the bottom of the sidebar you manage your profile and sign out.
An admin can delete the organization and all its data from Settings (with a typed confirmation).
